About the Position:
We are actively seeking an Executive Administrator to support our CEO Office, which also provides assistance to other C-suite executives. The ideal candidate will be exceptionally organized, meticulous with details, and adept at managing schedules and communications on behalf of company leaders. This role requires a proactive approach, great communication skills, and an ability to operate efficiently in a fast-paced environment.
Key Responsibilities:

Calendar Management - Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients. Organize and manage complex calendars, plan and manage appointments, and handle scheduling requests with agility and attention to detail.

Meeting Arrangements - Plan and execute board meetings, executive retreats, and other critical gatherings. This includes coordinating logistics, technology, and materials, as well as managing follow-up communications and action items.
- Document Preparation - Prepare internal and external corporate documents for team members and industry partners. Review and edit presentations and communications drafted by executives.

Travel Coordination - Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations.

Expense Management - Prepare and edit financial documents and reports, oversee the approval of executive expenses, and conduct regular reconciliations.

Confidentiality - Maintain professional and strict confidentiality in all aspects of corporate information, both internal and external.

Special Projects - Assist with special projects, such as conducting research, organizing data, and compiling reports to support executive decision-making.

Administrative Duties - Perform routine administrative duties, including data entry, filing, and maintaining and retrieving corporate records.

Onboarding employees - Assist the Director of Talent in onboarding new employees, ordering hardware and arranging software licences.
- Contact for IT - Manage the relationship with our IT provider
Requirements:
- Bachelor's degree preferred or equivalent experience.
- Minimum of 3-5 years of experience supporting Executives, preferably in a fast-paced remote environment.
- Proficiency in collaboration tools such as MS Office, Google Workspace, Slack, and Zoom.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with integrity.
- Strong problem-solving skills and the ability to work under pressure.
- Flexibility to respond to urgent job responsibilities outside the typical office hours when necessary.
